Pre Wedding (4 to 6 weeks prior to date): · Planning meetings (limited to 2), phone calls, and emails necessary to finalize wedding details · Obtain copies of all vendor contracts o Contact all vendors and inform them of Belle of the Ball assistance o Confirm all contract details (deliveries, set-up times, etc.) o Meeting with reception venue/caterer to develop wedding day itinerary o Develop extremely detailed wedding itinerary distributed to all contracted vendors · Meet with bride and family the week prior to the wedding: o Pickup all personal items from bride (guest book, pen, portrait, toasting glasses, sign-in book, cake knife, favors, programs, etc.) and transport to ceremony and reception venue o Plan ceremony and discuss family information, pew seating, processional and recessional o Wedding weekend itinerary distributed to families and wedding party · Attend rehearsal, coordinate ceremony (on absence of on-site church coordinator), handle marriage license, and church fee · Available to handle any special requests (champagne in car for exit, to go basket for bride & groom, etc.) during wedding weekend
Wedding Day: · Complete wedding day coverage to manage and assist with: o Wedding day timeline o Vendor set-up at ceremony and reception venue o Payment of vendor balances and tips distributed as requested o Coordination of transportation for out-of-town guests and wedding party o Hair and makeup schedule o Delivery of bridal gown and bridesmaids dresses o Assist bride and wedding party in dressing room prior to ceremony o Food trays and beverages for bridal party o Organization and distribution of all personal flowers o Coordination and timing of ushers, house party, attendants, family and bride and groom o Transport personal items from ceremony to reception o Bustle bride’s dress and arrange refreshments upon couple’s arrival to reception o Coordination of entertainment and all announcements and events throughout the evening (first dance, toasts, cake cutting, bouquet toss, etc.) o Specially requested photographs and videography o Coordination of bride and groom’s exit · Ensure that all personal items (gifts, cake topper, bride’s bouquet, toasting glasses, cake knife, etc.) are taken at the end of the evening
Post Wedding: · Pick-up tuxedos from hotels and return to rental location · Return all rental items (cake boards, linens, easels, etc.) · Return all personal items and gifts to bride and groom following the honeymoon
